Most independent retailers and dealers are already paying for software that records everything they do — and tells them almost nothing about what to do next. That’s usually a reporting and habit problem, not a software problem. Sometimes it’s a software problem. We’ll tell you which.

How this usually sounds

Nobody calls to say their reporting is under-configured. They say something closer to this.

“We pull everything into a spreadsheet anyway.”
“There are two hundred reports in there and we run four.”
“Nobody has been trained on it since we went live in 2019.”
“The person who knew how it worked left.”
“We pay for a module we never turned on.”
“Month-end takes two weeks and I still don’t trust the number.”

Every one of those is worth solving. Only one of them is solved by buying different software.

And you should be suspicious of anyone who only ever gives you one of them.

You’re under-using what you already own

The data is in there. The reports either don’t exist, aren’t run, or aren’t trusted. Nobody was taught what a healthy number looks like, so nothing gets acted on. Replacing the software moves that problem to a new screen and adds a year of disruption on top.

What that needs: reporting built on your own data, and people who know how to read it.

Sometimes

You have genuinely outgrown it

The system can’t hold what the business has become — a second location, rental, a service department that has doubled, reporting the software was never built to produce. That’s real, and no amount of better habits fixes it.

Why we can say that

We don’t sell a system, and nobody pays us to recommend one

No vendor commissions. No reseller agreements. No system of our own to protect. We do build software — Vista reads whatever system you already run, so it has nothing to gain from you switching to a different one. If the honest answer is that your current system is fine and the problem is how it’s being used, we lose nothing by saying so.

That’s also why the other answer means something. When we say a business really has outgrown its system, there’s nothing in it for us either way — and we have been on the inside of a system conversion often enough to know what it costs when the decision is made for the wrong reason.

A DMS vendor can’t write this page. The honest version of it costs them a sale.

What we actually look at

What it captures
Nearly always more than the business realizes. Cost, movement, vendor, department, history — already there, unread.
What it reports
Which reports exist, which are actually run, and which nobody trusts. Usually a very short list against a very long menu.
What gets acted on
The real gap. A number nobody knows how to read is the same as a number nobody produced.
What’s missing
The point where under-use ends and a genuine limitation begins. This is the part that decides the answer.

We read exported files. There is no connection to your system, nothing installed, and nothing written back to it.
