ProfitEdge Systems  ·  Consulting  ·  DMS Implementation Guidance

Independent, owner-side guidance for your system conversion.

Changing your DMS, ERP or point of sale? ProfitEdge helps you make decisions before they become configuration, prove business scenarios before they become live transactions, and stabilize the operation before workarounds become the way things are done.

The gap

Your vendor runs the software. Who runs the business side?

A software vendor knows their product, but they are not responsible for your policies, your decisions, your staffing, your controls, or the dependencies between departments. Owners generally assume the implementation includes operational readiness and real testing. It usually does not. ProfitEdge represents your side of that project, start to finish — without replacing your vendor or getting between you and them.

Six phases, each with a gate before the next

Conversions rarely fail at go-live. They fail at a decision taken three months earlier that nobody wrote down. Every phase has decisions, owners, and something that has to be true before the project is allowed to move on.

Before go-live
1

Operational readiness

Goals, leadership, risks and honest prerequisites, established before any decision gets made. This is also where a conversion sometimes gets postponed, which is a legitimate outcome.

2

Process and data preparation

Workflows, data ownership, cleanup and a reconciliation plan — so that what moves across is worth having once it arrives.

3

Decisions and configuration

Business requirements turned into documented, tested configuration decisions — with a record of who decided what, which is the document you will want in eighteen months.

4

Training and testing

Proving complete business scenarios and role readiness — not walking people through screens and calling it trained.

Go-live
5

Cutover and go-live

A controlled transition with named responsibilities and go / no-go criteria agreed in advance, rather than argued about on the morning.

After go-live
6

Stabilization

Removing the workarounds, validating that reporting can be trusted, and making the new way the way it is actually done. Skipped more often than any other phase.

Engage at the level the conversion needs

From a one-time readiness review to someone on your side of the table the whole way through. You can also come in late — a conversion that has already gone wrong is a normal reason to call.

Entry point

Readiness assessment

A documented view of where you actually stand: readiness, risks, responsibilities and what has to be prepared first. Includes a readiness scorecard and a written plan.

Build the plan

Planning intensive

Your plan, your data plan, how you will test it, how you will train people and how you will go live — plus a written record of decisions that survives staff turnover.

Most support

Guided advisory

Independent guidance through the decisions, the testing, the cutover and early stabilization — including sitting in on vendor meetings on your side of the table.

Complex or multi-site

Owner-side partnership

Someone holding the whole thing together across departments on multi-module or multi-location conversions, running the full six phases with leadership and vendor coordination throughout.

After go-live

Stabilization review

For a conversion that is live and limping. A prioritized plan against the workarounds, the adoption gaps and the reports nobody trusts yet.

Ongoing

Advisory retainer

Ongoing support for meetings, decisions, documentation and risk within a defined monthly capacity, for projects that run long.

Scope and price are confirmed in writing before any work begins. Location count, modules, timeline, data complexity and onsite requirements all move the number, so it is agreed rather than assumed.

On your side of the table

Independent by construction

We represent your interests, not what the vendor has promised to hand over list or a vendor’s timeline. We take no commission from anyone selling you software.

Weighed across the whole operation

A configuration decision that suits the parts counter can break month-end, and nobody connects the two for a year. Decisions get weighed across the whole business rather than settled inside one module.

Process before clicks

Training and testing start from what the business has to be able to accomplish on the Monday after go-live, not from which button does what.

Common questions

Does ProfitEdge replace the software vendor?
No. We provide independent operational guidance while the vendor stays responsible for their product and the technical implementation. We are not trying to get between you and them.
Can you configure the system for us?
Only where that is expressly scoped, authorised, and supported by the vendor. The standard service is business decisions, readiness, testing, oversight and adoption — not hands on the configuration screens.
When should we bring you in?
Ideally before configuration starts, because that is when decisions are cheapest to change. But mid-implementation is common, and after go-live through a stabilization review is a perfectly normal way to start.
Can you guarantee a successful go-live?
No, and anyone who does is guessing. No advisor controls vendor performance, data conversion, or whether your team does what was agreed. What this reduces is avoidable operational risk, through preparation and evidence rather than optimism.
Will you tell us which system to buy?
System selection can be scoped separately. This service is built for implementation readiness and execution — the part that happens after the contract is signed and where most of the damage occurs.
How is this priced?
Scope and price are agreed in writing before any work starts. Location count, modules, timeline, data complexity and onsite requirements all affect it, which is why we scope it rather than quote it blind.

Part of the consulting side of ProfitEdge

A conversion is the moment when everything about how a business runs gets written down and re-decided. It is the same advisory work as the rest of our consulting, done under a deadline.

Consulting

Profitability, pricing, margin, inventory and operating performance — the advisory work that continues once the new system is stable.

Vista Intelligence

Because Vista reads exported data rather than connecting to a platform, it works before, during and after a conversion — which makes it a useful way to check whether what came across is right.

Converting systems? Do not go in unrepresented.

Start with a readiness review, or just talk through where you are in the process — including if that is somewhere you did not plan to be.
